As Office Assistant you will be responsible for creating a warm, friendly, and welcoming environment within the reception area, as well as providing administrative and organizational management to the office.
The individual will be handling a wide range of administrative related tasks.
Essential Duties & Responsibilities Greet clients, prospective hires and guests with a positive upbeat attitude.
Handle a multi-line phone system, answering inbound calls for a fast-paced growing company.
Take accurate messages with a high degree of professionalism and courtesy.
Schedule and organize activities such as meetings, travel and conferences.
Assist with the day-to-day operations of the office, including ordering supplies, distributing mail and maintain a clean and safe reception area.
Review and respond to daily internal/external mail and overnight packages.
Arrange for repairs and maintenance relative to office furnishings, fixtures, equipment and space.
Prepare conference rooms for client and team meetings.
Participate in cleaning and maintenance of all common spaces including but not limited to cleaning counters, conference room, emptying trash and miscellaneous office cleanup.
Provide administrative support and work on additional projects and general office maintenance as assigned.
Coordinate monthly events for office.
Calendar reminders.
Request certificate of insurance.
Perform other duties as assigned.
Additional Duties & Responsibilities Perform or assist with any range of special projects, tasks and other related duties as assigned to maintain workflow and meet schedules.
Knowledge, Skills & Proficiencies Excellent planning and organizing skills with a high degree of interpersonal skills.
Must have strong proficiency in Windows and Microsoft Office including but not limited to word processing, spreadsheet design and maintenance, navigating in databases, and creating presentations.
Strong verbal and written communication skills.
Ability to communicate and provide guidance to all employee levels.
Ability to work with sensitive or confidential information.
Ability to prioritize work, meet deadlines and work well under pressure.
Requires detail orientation and attention.
Ability to work well in a team environment as well as independently.
Must be able to work extended hours and weekends/holidays as needed to meet deadlines.
